What is Rent-Track?
Rent-Track is a subscription-based platform that gives property owners and managing agents a single workspace to track properties, tenants, payments, expenses, documents, and communications.
How much does it cost?
R299/month for up to 5 units. R499/month for up to 10 units. After that, add blocks of 5 units for R249 each. Agents register for free via an owner invite link.
Can I manage multiple properties?
Yes. Add as many properties as you like, each with their own units. Group units under different legal entities and assign different agents to different units.
How do agents join?
Agents cannot self-register. An owner sends an email invitation from within Rent-Track. The agent clicks the link, creates an account, and is immediately linked to the owner's portfolio.
Is my financial data secure?
Absolutely. Sensitive information like purchase prices, bond details, and account numbers are stored with owner-only visibility. Agents cannot see this data even if they manage the unit.
Do tenants need an account?
No. Tenants don't log into Rent-Track. They receive rent reminders via email or WhatsApp and can reply directly — their replies are tracked in the communications timeline.
Can I track expenses and maintenance?
Yes. Log expenses per unit with contractor details, dates, and costs. Both owners and agents can log expenses, and the system shows rent-vs-expense performance per unit.
How does document management work?
Upload documents manually, by email, or via WhatsApp. The system auto-files receipts, invoices, and lease agreements and links them to the right tenant or unit.
What happens when a tenant leaves?
Their record moves to 'Previous Tenants' with full payment history preserved. Any outstanding arrears are tracked separately and don't affect the new tenant's stats.
